How do you price your items?

Our hire rates are calculated on a weekly basis, excluding VAT and transport costs.

The minimum rental period is 1 week. However, we will ask for your confirmed return date, as this can impact item availability.

We have a minimum invoice requirement of £50 + VAT.

Each item is assigned a replacement value, which is listed in our quotations. This is the maximum amount charged if an item is lost or irreparably damaged and can be used for insurance purposes.

Our weekly hire charges are structured as follows:

  • Week 1: 10% of the item's replacement value

  • Week 2: 5% of the item's replacement value

  • Weeks 3 and 4: 2.5% of the item's replacement value per week

The standard hire period is up to 4 weeks, but longer rentals can be arranged upon request.

What is a rental agreement?

What is a Rental Agreement?

To confirm a rental and before items can be collected, you must either complete a Rental Agreement or provide us with a Purchase Order. This is required for every new rental contract.

The Rental Agreement is a brief online form, and your Sales Advisor will email you a link to access it. You’ll need to fill in the hiree’s details and the contract number (which can be found on our quotes), and then sign it (either using a computer mouse or your finger on a mobile device).

Once submitted, the Rental Agreement is automatically sent to our Sales team.

Do I need insurance?

Yes, insurance is required for all items, as they remain the hiree’s responsibility from the time of collection until they are returned.

The quote provided includes the ‘Total Risk Value’ for each item, which represents the replacement cost you would be charged if an item is lost or damaged beyond repair.

Terms and conditions

Conditions of Hire

  1. Parties

    • (a) The Hirer is glasshouse props Ltd,

    • (b) The Hiree is the person or business named on the purchase order or rental agreement. If the Hiree’s business address is outside the UK, the Agent listed on the agreement will be jointly and severally responsible with the Hiree for all terms and conditions of the hire. The Agent's address will be used for communication and service.

  2. Official Order

    • All transactions must be made using the Hiree’s purchase order or rental agreement, specifying the items and weekly hire charges. The order or agreement should include the registered business address and VAT number. If an agent doesn’t have a VAT number an ID will be required for Hirer records.

  3. Hire Charges

    • Charges are based on the following schedule:

      • 1st week: 10% of the item's quoted value

      • 2nd week: 5% of the item's quoted value

      • 3rd and 4th weeks: 2.5% of the item's quoted value per week.

    • The maximum initial hire period is 4 weeks; longer periods can be arranged by special agreement. A minimum invoice amount of £50 applies to all transactions.

  4. Extended Hire and Additional Charges

    • Any extension of the hire period must be agreed upon in writing at least 48 hours before the original return date. If approved, the Hirer will issue an extended hire quote and invoice.

    • Items returned late without prior agreement may incur a late fee of up to £150 + VAT or the value of the extended hire. Collections or returns outside of normal operating hours may also incur an Out of Hours Fee.

  5. Payment

    • Payment is due at the time of hire (or for extensions, at the time of notice), unless the Hiree has an account, in which case payment is due within 30 days of the order date.

    • Payment methods include card (by phone) or bank transfer. By providing card details, the Hiree authorises the Hirer to charge for any extended hire, loss, or damage.

  6. Loss, Damage, and Insurance

    • The Hiree is responsible for keeping items in good condition during the hire period. Any items returned damaged or altered without consent will be repaired by the Hirer, with costs charged to the Hiree. Lost or irreparable items will be charged at their insurance risk value.

    • The Hiree must insure all items for the duration of the hire period and provide proof of insurance upon request. Any discrepancies must be reported within 24 hours of collection.

  7. Collection and Delivery

    • The Hiree is responsible for the collection and return of goods. The Hirer reserves the right to refuse to load goods if the provided transport is deemed unsuitable.

  8. Preservation of Items

    • Items may not be altered without prior written consent. Any granted permission for alterations will be subject to specific conditions. Labels identifying items as the Hirer's property must not be removed, and the items' location must be provided upon request.

  9. Indemnity and Limitation of Liability

    • The Hiree agrees to indemnify the Hirer for any losses, damages, or claims arising from the Hiree's use of the items, including personal injury claims from third parties or intellectual property infringement.

    • The Hirer’s liability is limited to £1,000 or the hire charge paid, except in cases of death or personal injury caused by the Hirer’s negligence.

  10. Surety

  • In some cases, the Hirer may request a surety to guarantee the Hiree’s performance of all hire terms. The surety will remain liable for all conditions, including payment for loss or damage.

  1. Copyright and Terms of Use

  • The Hirer grants the Hiree a non-exclusive, non-transferable right to use the items solely for the agreed purpose (e.g., in film, TV, photography, or events). Items cannot be lent or sub-hired to third parties.

  • Any unauthorised use or breach of this clause will result in the Hirer’s right to demand the immediate return of the items.

  • If an item is marked with a "Licence to Use," the Hirer guarantees ownership or control over the item's use. Otherwise, the Hiree is responsible for securing necessary permissions for the agreed use.

  • Ownership of the items remains with the Hirer and/or copyright holders.

  1. Packing Cases

  • Packing cases provided free of charge must be returned, or they will be charged to the Hiree.

  1. Order Cancellation

  • A 50% cancellation fee applies to confirmed orders cancelled within one working day before the dispatch date.
